Frequently Asked Questions
General Overview
What is Brixoza?
Brixoza is a web-based business management platform built for small businesses, freelancers, consultants, and agencies. Rather than being a single-purpose tool, it combines four core functions — customer relationship management (CRM), project management, HR administration, and financial record-keeping — into one connected dashboard. The idea is simple: most service-based businesses generate the same four categories of information over and over, no matter what industry they're in — information about who they sell to, the work they deliver, the people who deliver it, and the money that moves in and out. Brixoza brings all four together so that information entered once, such as a customer's details, is available everywhere it's needed across the platform, rather than being retyped into three or four separate tools.
Who is Brixoza actually built for?
Brixoza is designed primarily for service-based businesses: small businesses with a handful of staff, freelancers who juggle every role themselves, consultants managing several client engagements at once, and agencies coordinating a sales pipeline, active projects, a team, and ongoing invoicing simultaneously. The common thread across all of these business types is that the people running the business rarely have a dedicated department for each function — the same person is often doing sales, delivery, people management, and finance. Brixoza is built around that reality rather than assuming a large organisation with specialised teams for each area.
Is Brixoza a CRM, a project management tool, an HR system, or accounting software?
In a sense, it's all four — but it's more accurate to think of Brixoza as four connected toolsets that share the same underlying data, rather than four separate products bundled together. A lead captured in the CRM can become a project once it's won. That project can have tasks assigned to employees who are tracked through the HR module. Once work is delivered, an invoice can be raised against that project directly, and its payment status monitored through the financial tools — all without re-entering the same information multiple times across disconnected systems.
What problem is Brixoza actually trying to solve?
Most small businesses end up managing customers, projects, staff, and money across a patchwork of spreadsheets, sticky notes, email threads, and separate apps that don't talk to each other. This creates duplicate data entry, disconnected reporting, multiple recurring bills to manage, and inconsistent access across a team. Brixoza's core purpose is to remove that friction by giving service-based businesses a single, connected dashboard instead of a stack of standalone tools that each do one job in isolation.
Does Brixoza work for businesses outside the UK?
Brixoza is built with UK businesses in mind — for example, offering Bacs Direct Debit as a payment option — but the platform itself is web-based and accessible from anywhere with an internet connection. That said, specific feature availability, including certain payment methods, may depend on your location, so it's worth checking what's available for your region before purchasing.
Can I access Brixoza on my phone or tablet?
Because Brixoza is a web-based platform, it can be accessed through a compatible web browser on a range of devices, including tablets and mobile phones, in addition to desktop and laptop computers, subject to the customer's package and the capabilities of their device's browser.
The CRM (Customer Relationship Management) Tools
What does the CRM part of Brixoza actually do?
The CRM module gives every customer a single, centralised profile rather than having their information scattered across email inboxes, business cards, and separate contact lists. It also includes tools to track leads as they move through your sales pipeline, from initial enquiry through to a closed deal, so you can see at a glance which opportunities are progressing, which have stalled, and which need a follow-up. Beyond that, it tracks when a follow-up is due for any lead or customer, and it builds up a running history for each customer as projects, transactions, and interactions accumulate over time.
How does Brixoza help me avoid losing track of leads?
One of the most common ways small businesses lose potential revenue is by simply forgetting to follow up at the right time. Brixoza's follow-up tracking means outreach becomes a matter of checking your dashboard rather than trying to remember who you promised to call back. This is especially useful for businesses with a small team, where there isn't a dedicated salesperson whose only job is chasing leads — instead, several people are often juggling sales alongside their delivery work, and a shared, visible pipeline keeps things from falling through the cracks.
What happens to a customer's information over time?
Every interaction, project, and transaction connected to a customer builds into their record automatically as you use the platform, forming a complete history. This means anyone who opens that customer's profile can quickly understand the full relationship — what's been sold to them before, what's been delivered, and the general pattern of how the relationship has developed. This is particularly useful when a client relationship changes hands internally, since the history travels with the customer record itself rather than living in one team member's memory or inbox.
Can everyone on my team see the same customer information?
Yes — because each customer has one centralised profile within Brixoza, anyone in your business who needs to speak to that client, whether that's a salesperson, a project manager, or someone in finance, is working from the same up-to-date information, rather than relying on whoever happens to have the most recent email thread.
Project Management
How does Brixoza help me manage client projects?
Every piece of client work can be set up as a project within Brixoza, giving it a defined space where all related tasks, deadlines, and team assignments live. Instead of a project's details being split across a proposal document, a chain of emails, and someone's personal notes, everything relevant to delivering that piece of work sits in one place, connected directly to the customer it was sold to.
Can I break a project down into smaller pieces of work?
Yes. Within each project, work can be broken down into individual tasks. This matters for service-based businesses because a single engagement — a marketing campaign, a consulting project, a design job — is usually made up of many smaller pieces of work that need to happen in sequence or in parallel. Breaking a project into tasks gives clearer accountability and a more realistic sense of progress than tracking the whole thing as one large, undifferentiated block.
How are deadlines and scheduling conflicts handled?
Every task and project can carry its own deadline, giving both you and your client a clear sense of when deliverables are expected. For agencies and consultancies running several client engagements at once, having all deadlines visible across every active project in a single dashboard — rather than scattered across separate calendars or per-client to-do lists — makes it much easier to spot scheduling conflicts before they become a real problem.
Can I assign tasks and projects to specific team members?
Yes, Brixoza lets you assign both tasks and full projects to specific members of your team, so responsibility for each piece of work is clear from the outset. Anyone reviewing a project can immediately see who's responsible for what. This is often the point at which informal, verbal task allocation starts to break down as a business grows — having assignments recorded in the platform removes that ambiguity.
How does project management connect to the rest of the platform?
Because the project management tools sit in the same dashboard as the CRM, every project can be linked directly to the customer it's being delivered for. That means anyone wanting the full picture of a client relationship — a completed project, an ongoing one, or one still sitting in the pipeline — doesn't need to leave the customer's profile to find it. Delivery, sales, and billing stay connected rather than operating from three separate versions of the truth.
HR Administration
What HR features does Brixoza include?
Brixoza's HR administration tools cover four main areas: employee records, leave management, onboarding, and employee documents. Employee records give your business a single, organised place to store relevant employment information, rather than having it spread across paper files, personal spreadsheets, or someone's email archive. Leave management lets employees and managers track leave requests and balances within the same dashboard used for everything else. Onboarding tools help structure and track the process of bringing a new employee into the business. And employee documents give you a place to store paperwork relevant to each person, attached directly to their record.
Is Brixoza suitable for a business with no employees?
Yes. Many freelancers and sole traders use Brixoza primarily for its CRM, project management, and financial record-keeping tools without touching the HR administration features at all. The platform and its plans are structured so that you only need to use the tools that are relevant to how your business currently operates.
What happens if my business grows and I start hiring staff?
You can begin using the HR administration tools whenever you need them — to maintain employee records, manage leave, structure onboarding, and store employee documents — and you can move to a package that better reflects your team size and usage needs at that point. There's no need to migrate to a different system; the HR tools are already part of the same platform you've been using for CRM, projects, and finance.
Does Brixoza process payroll or act as my employer of record?
No. This is an important boundary to be clear about. Brixoza's HR tools help you maintain records, manage leave, structure onboarding, and store documents, but the platform does not calculate or process payroll payments, and it is not an employer of record for any staff you employ. Payroll processing and employer-of-record services are regulated activities that require dedicated providers, so if your business needs those services, you'll need to arrange them separately, outside of Brixoza.
Does Brixoza run payroll for my employees?
No. The HR module in Brixoza is a record-keeping and administration tool covering employee records, leave management, onboarding, and document storage. It does not calculate wages, make payroll payments, handle tax withholding, or otherwise function as a payroll system. Businesses that need payroll processing should use a dedicated payroll provider or payroll software alongside Brixoza.
How does HR administration connect to project delivery?
Because the HR tools sit within the same platform as project management, a manager reviewing project assignments can, within the same dashboard, see who on the team is available, who is currently on leave, and who has recently completed onboarding — all without needing to check a separate HR system. This is particularly useful for spotting scheduling problems early, such as assigning a task to someone who is about to go on leave.
Financial Record-Keeping
Does Brixoza replace the need for an accountant?
No. Brixoza provides tools that help a business record and organise its own income, expenses, and invoicing data, and to generate basic reports from that data. It does not provide accounting, tax, or financial advice, and it does not prepare or file tax returns. Businesses should continue to work with a qualified accountant or tax adviser for those matters; Brixoza is designed to make that relationship easier by giving the business organised, up-to-date records to share with their accountant, not to replace the accountant's role.
What financial tools does Brixoza offer?
Brixoza lets you create invoices directly within the platform, drawing on customer and project data that's already in your dashboard, so you don't have to re-enter details that exist elsewhere in the system. It also lets you record income and expenses as they occur, monitor payment status against each invoice so you always know what's outstanding or overdue, and generate business reports that summarise your financial activity based on the data you've entered.
Does Brixoza process payments from my own customers?
No. Brixoza's invoicing and financial record-keeping tools are designed to help you create invoices and track whether they've been paid, purely for your own internal record-keeping. Brixoza does not hold or transmit funds between you and your customers — any actual payment arrangements you have with your clients happen outside the platform, using whatever methods you already use to get paid.
Does Brixoza hold my clients' payments for me?
No. Brixoza's financial tools allow a business to create invoices and track their payment status for the business's own internal record-keeping. Brixoza itself does not hold or transmit customer funds on behalf of third parties. Payments made by Brixoza's own customers, to Brixoza, are processed through Stripe.
Can Brixoza help me chase overdue invoices?
Indirectly, yes. Because Brixoza tracks payment status against each invoice, you get a clear, current view of what's owed to your business and by whom. Chasing overdue payments becomes a matter of checking a list within your dashboard rather than manually cross-referencing invoices against your bank statements to work out who still owes you money.
Does Brixoza give me tax or accounting advice?
No. Brixoza's financial record-keeping tools are designed to help you record and organise your own financial information — they are not a substitute for advice from a qualified accountant, tax adviser, financial adviser, or solicitor, and nothing within the platform should be treated as such advice. Many customers use the reports generated within Brixoza as a useful starting point to share with their own accountant or bookkeeper, rather than as a replacement for that professional relationship.
Does Brixoza file tax returns for me?
No, Brixoza does not file tax returns on behalf of customers. While the reports generated within the platform can be a useful reference point when preparing a tax filing — whether you prepare it yourself or work with an accountant — responsibility for preparing and submitting accurate tax returns rests with you or the professional advisers you choose to engage, not with Brixoza.
Purchases, Packages, and Pricing
How is Brixoza sold — is it a one-off purchase or a subscription?
Brixoza is sold as a one-off purchase. There's no separate licence to purchase and no software to install; once you buy a package, you get lifetime access to your dashboard from any web browser, with no recurring charges. Packages combine a particular set of features with a particular set of usage limits, reflecting the fact that a solo freelancer's needs are genuinely different from a twenty-person agency's needs.
What determines which package is right for my business?
Packages are generally structured around three considerations: feature access (whether you need the full range of CRM, project management, HR, and financial tools, or a smaller subset), usage limits (such as the number of customer records, active projects, employee records, or invoices you can create within a billing period), and team size (some packages are designed around a single user, reflecting freelancers and sole traders, while others support multiple team members collaborating in the same dashboard).
Can I change my package later?
Brixoza does not currently support upgrading or downgrading an existing purchase. If your needs change and a different package would suit you better, you can make a new purchase of that package at any time — see our Terms and Conditions and Refund Policy for the full details.
What if I'm not sure which package to choose when I sign up?
It's worth reviewing the specific details, features, and usage limits of each current package on the pricing page before purchasing, since these can change over time. Because you can move between packages later, you don't need to get the choice perfect on day one — many businesses start with a package that roughly fits their current size and adjust as they grow or as their usage patterns become clearer.
Payments and Billing
How is my Brixoza purchase paid for?
All payments are processed through Stripe, a payment processor widely used and trusted by businesses around the world. Depending on availability, you can pay using standard card payments, as well as Bacs Direct Debit where this option is offered.
Does Brixoza store my card details directly?
No. Because payments are processed through Stripe, Brixoza does not itself store your full card details on its own servers. Stripe is built to meet strict industry standards for handling payment data securely, and your payment information is handled through that infrastructure rather than stored directly within Brixoza's own systems.
Is billing recurring, and can I see my billing history?
No — Brixoza is a one-off purchase, not a recurring subscription. You pay once for your chosen package and get lifetime access; there's no auto-renewal and nothing further is charged to your card or bank account after that single payment. You'll be able to see your payment record and manage your account details at any time.
Can I change or cancel my payment details?
You can typically update your payment details, upgrade or downgrade your package, and manage your billing preferences through your account, with changes taking effect in line with Brixoza's published terms. If you have a specific billing question, Brixoza's support resources are available to help.
The 14-Day Money-Back Guarantee
Does Brixoza offer a money-back guarantee?
Yes. Brixoza offers a 14-day money-back guarantee on eligible purchases, so new customers can try the platform with confidence. If, within 14 days of purchasing, you decide Brixoza isn't the right fit for your business, you can request a refund in line with the published refund terms.
What can I do during the 14-day window?
The guarantee is designed to give you the opportunity to genuinely explore the platform — setting up your dashboard, adding customers and projects, and getting a real feel for how it works for your business — without the pressure of an immediate, irreversible financial commitment.
What happens if I want a refund after the 14-day window has passed?
Requests made outside the 14-day window are handled in line with Brixoza's standard refund and cancellation terms rather than under the money-back guarantee itself, so it's worth reviewing those terms in full if you're considering cancelling later on.
How do I actually request a refund within the guarantee period?
If you decide within the 14-day window that Brixoza isn't right for you, you can get in touch with Brixoza directly to request a refund in accordance with the published process, which aims to be straightforward and to handle requests promptly.
Security, Data, and Ownership
Who owns the data I enter into Brixoza?
You do. The customer records, project details, employee information, and financial data you enter into Brixoza belong to your business. Brixoza provides the platform and the tools to organise that information, but the underlying records remain yours.
Where does the information in my dashboard come from?
All of the financial and HR information managed through Brixoza is entered by you, the customer, for your own business purposes. Brixoza does not populate your dashboard with data from other sources — the accuracy and completeness of what you see reflects exactly what you and your team have entered.
Who is responsible for making sure my records are accurate and compliant?
You are. As the business using Brixoza to manage your own customer, project, employee, and financial information, you remain responsible for the accuracy, use, and compliance of the records you keep, including making sure that information about customers and employees is handled in line with any applicable data protection obligations, such as those under UK data protection law.
How does Brixoza keep the data I enter secure?
As the software provider, Brixoza's responsibility is to build and maintain a platform that keeps the data you enter secure, using appropriate technical safeguards for how information is stored, transmitted, and accessed within the system. Payment information itself is handled separately through Stripe, rather than being stored directly within Brixoza.
Can I control who on my team sees what?
Yes. Within your Brixoza account, you retain control over who on your team has access to which parts of the platform, letting you manage internally who can view or edit customer records, project details, employee information, and financial data, in line with the roles and responsibilities within your own business.
Is my data secure?
Brixoza is built with access controls that allow a business to manage which of its own team members can access which parts of the platform. As with any cloud-based business software, customers are encouraged to review Brixoza's published security and privacy documentation for full technical and policy detail, and to manage their own account credentials and user access responsibly.
What Brixoza Is — and Isn't
Is Brixoza a payment processor or financial institution?
No. Brixoza does not hold or transmit customer funds on behalf of third parties, and it is not a bank, payment institution, or financial services provider in its own right, beyond its use of Stripe to collect your own payments. The invoicing and payment-status tools within the platform exist purely to help you keep your own financial records organised.
Is Brixoza a payroll provider or employer of record?
No. Brixoza's HR administration tools help you maintain employee records, manage leave, structure onboarding, and store documents, but Brixoza does not calculate or process payroll, and it is not an employer of record for any staff you employ. These are regulated activities that require a dedicated provider arranged separately from Brixoza.
Is Brixoza an accounting, tax, or legal adviser?
No. Brixoza does not provide accounting, tax, financial, investment, or legal advice. Its financial record-keeping tools are designed to help you record and organise information about your own income, expenses, and invoicing — not to substitute for advice from a qualified professional adviser.
So what exactly is Brixoza?
Brixoza is a software provider, not a consultancy, an accountancy practice, or a staffing agency. Its role is to design, build, and maintain a reliable, secure platform that gives service-based businesses connected tools to organise their customer relationships, projects, HR administration, and financial records. It is not, and does not claim to be, a substitute for professional financial, tax, legal, or payroll advice and services, and customers are always encouraged to engage appropriately qualified professionals for those specific needs.
Getting Started and Everyday Use
What does the process of getting started with Brixoza look like?
Getting started generally follows four steps. First, you choose a package that fits your business size and needs. Second, you set up your dashboard by adding existing customers, importing or entering current projects, setting up employee records if relevant, and configuring your invoicing details. Third, you use Brixoza day to day as the place you and your team return to for logging leads, updating projects, recording leave requests, and raising invoices. Fourth, you periodically review and report on how your business is performing using the data that's already been captured through normal use.
Do I need to migrate all my existing data before I can start?
No. While you're welcome to bring across your existing customer, project, employee, and financial records when you get started, many customers begin simply by entering new activity into Brixoza as it happens, and gradually build up historical records over time, rather than treating a full data migration as a prerequisite to starting.
Can multiple people on my team use the same Brixoza account?
Depending on your chosen package, yes — Brixoza supports multiple team members accessing and collaborating within the same dashboard, with access managed according to your business's own needs and roles.
What kind of support is available if I get stuck?
Once you've purchased a package, you'll have access to guidance to help you set up your dashboard, add your existing customers and projects, and configure the features relevant to your package. For ongoing questions as you use the platform day to day, support resources are available to help you find an answer or get in touch directly, including for billing and account queries related to your purchase or the money-back guarantee.
What happens to my data if I stop using Brixoza?
Data handling once your access ends, including any data retention or export options, is addressed in Brixoza's separate published Terms and Conditions and data handling documentation, which customers should refer to for full details.
Why Choose One Dashboard Over Several Separate Tools
I already use a CRM, a project tool, and a spreadsheet for HR — why switch to one platform?
Many Brixoza customers arrive after trying exactly that combination: a CRM for leads, a project management app for delivery, a spreadsheet or lightweight tool for staff records, and a separate invoicing package for finances. Each individual tool may work fine on its own, but the friction tends to show up in the gaps between them — duplicate data entry, disconnected reporting, several recurring bills and logins to manage, and inconsistent access as the team grows. Bringing CRM, project, HR, and financial data into a single dashboard removes those gaps rather than trying to patch them with more integrations.
How does using one dashboard reduce duplicate data entry?
When customer, project, HR, and financial information live in separate systems, the same details often need to be typed in more than once — a new client's name and contact details might go into the CRM, then again into the project tool, then again onto the first invoice. Each re-entry is a chance for a typo or an inconsistency to creep in, as well as wasted time. Within Brixoza, information entered once, such as a customer's details, is available wherever it's needed across the platform, whether that's a project, an invoice, or a report.
Does having everything in one place actually improve reporting?
Yes. When customer data lives in one tool and financial data lives in another, answering a question as simple as "which of our clients are most profitable" usually means manually exporting data from two systems and combining it in a spreadsheet. Because Brixoza holds CRM, project, HR, and financial data within the same platform, reporting can draw on a more complete picture without that manual reconciliation step, giving business owners a single source of truth rather than several partial ones.
